    Scope: Provides exceptional service in coordinating events with external group leaders and supporting team members at WinShape Foundation; collaborate with the Events team by ensuring all events are planned with excellence, relationships with group leaders are well developed, and team are well equipped with information essential to the execution of the overall experience; build relationships with external clients, create emotional connections, understand and meet needs, and communicate in a timely manner.


    Reports To: Assistant Manager, Events


    • Serve as Event Specialist for a variety of external group types by:
      • Clearly communicating WinShape Foundation service offerings, mission, and vision
      • Conducting effective needs assessments, event consultations, and conference calls
      • Educating group leaders about pre-event, event, and post-event information, policies, and procedures
      • Meeting group leader needs by offering appropriate service offerings for the client’s event
      • Coordinating details including: accommodations, food and beverage, WinShape Foundation programming, and facilities
    • Provide remarkable customer service and timely client care through in-person meetings, phone calls, and emails
    • Develop genuine and intentional relationships with all group leaders through emotional connections
    • Regularly meet with and shadow ministry units and Support Services teams to understand and remain relevant with current service offerings
    • Coordinate with other departments to execute each event by ensuring groups have accurate details and sufficient event support through the property management system
    • Responsible for educating group leaders on policies and procedures related to an event at the WinShape Foundation
    • Assist in continually assessing and enhancing the event planning process for external clients
    • Serve and contribute to the WinShape Foundation event planning department by completing tasks, managing multiple projects at one time, conducting research and writing detailed reports
    • Actively engage in and prepare for weekly Rundown meeting
    • Participate in WinShape Foundation committees as needed

    • Bachelor’s degree or equivalent relevant work experience with property management systems
    • At least 3 years of administrative/customer service experience
    • Intermediate level proficiency in Microsoft Office, with ability to learn additional software applications, as needed
    • Excellent professional, and client-focused verbal & written communication skills
    • Organizational skills with strong attention to detail and the ability to prioritize work effectively in an environment with competing demands without loss of poise, grace, or humor
    • Exhibit the following: adaptable to new challenges and change, dependability, initiative, problem solving skills
    • Demonstrates ability to work well with a team and independently as needed
    • Committed to being present at appropriate times of work- 40/45 hours weekly, all shifts, all days


    FLSA Status:    Regular Full-Time, Non-exempt
