    Scope of Position:  The Reservations Specialist is responsible for the guest room reservation process for groups and individuals at WinShape Retreat. This position oversees the operations of the reservations office, training new reservations staff, interacting with retail budget, verifying guest information prior to arrival, and helps the Reservations team be the first interaction that guests and clients have when making an inquiry to the WinShape Foundation. This position provides the first step in ensuring an atmosphere of hospitality, 2nd mile service, and emotional connection for all guests of the WinShape Foundation.

     

    Reports to: Assistant Manager, Front Office & Reservations

    Responsibilities

    • Responds to reservation inquiries to WinShape Retreat via web, mail, phone and email
    • Creates reservations in the PMS, secures payment, and provides guest confirmation for all individual reservations and cancellations 
    • Provides accurate information to systems that communicate detailed information about individual reservations to all WinShape Foundation departments
    • Works in conjunction with Event Planners to make group room assignments
    • Assists guests with directions, transportation information and anticipation of services at WinShape Retreat
    • Participates in an ongoing training program to increase skill, knowledge, and proficiency with the Infor HMS (PMS) and other systems as required
    • Maintains inventory of vacancies, reservations and room assignments
    • Supports the implementation and recording of the published rates and any scholarship, discount or exceptions to these rates
    • Responds to inquiries for all ministries of the WinShape Foundation
    • Represents Reservations in meetings with other departments as needed
    • Trains new reservations staff
    • Ensures all guest/group information is correct prior to arrival, including verifying rates, reviewing rooming lists, and checking split rooms
    • Performs other duties and tasks as assigned by Guest Services Leadership

    Qualifications

    • High School diploma or equivalent
    • 1 to 3 years’ experience in customer service, hospitality or a related field
    • Experience in dealing with guests in a non-intrusive, supportive, and grace-based manner.
    • Excellent interpersonal and communication skills
    • Valid Driver’s License and acceptable driving record
    • Commitment to being present at appropriate times to work - 40/45 hours weekly, all shifts all days
    • Proficiency in Microsoft Office Products and/or knowledge of a property management system (Maestro)
    • Ability to lift and/or carry objects weighing up to 25 lbs.
