Scope of Position: We are seeking an organized Seasonal Office Assistant to provide essential support to the WinShape Camps for Communities teams. This role is crucial for maintaining effective communication, assisting with administrative tasks, and delivering exceptional customer service to summer staff, parents, and campers.

 

Reports To: Team Leader, Camps Operations – WinShape Camps for Communities

Responsibilities

  • Inventory & Procurement Support: Review camp inventory replenishment requests submitted by summer teams, and coordinate with WinShape Foundation Procurement to ensure timely fulfillment.
  • Operational Communication: Maintain regular communication with the summer Operations Director to ensure deadlines are met, and operational needs are promptly addressed.
  • Financial Processing: Process and code receipts from summer staff teams for credit card purchases, ensuring accuracy and timely submission.
  • Reporting & Documentation: Collect weekly reports from the Operations Directors, compile relevant data, and share updates with full-time staff as necessary.
  • Camper Registration: Assist with camper registrations and process payments from parents. Maintain proficiency with the WinShape Camps registration system and ensure smooth participant enrollment.
  • Customer Service Excellence: Provide exceptional support to summer staff and parents, fostering positive relationships and offering timely, helpful assistance whenever needed.

Qualifications

  • Experience: Previous experience on Summer Staff with WinShape Camps or another camp is preferred, but not required.
  • Customer Service Skills: Strong background in customer service and the ability to manage relationships with various stakeholders (parents, staff, and campers).
  • Technical Skills: Intermediate proficiency with Microsoft Excel, Word, and Outlook.
  • Communication Skills: Excellent written and verbal communication skills with the ability to handle multiple tasks while maintaining clear and professional communication.
  • Time Management & Organization: Ability to manage time effectively and prioritize tasks to meet deadlines in a fast-paced environment.
  • Interpersonal Skills: A friendly, patient, and professional demeanor in all types of communication and interactions.
  • Remote Work Capable: Comfortable working remotely and managing tasks independently while maintaining high levels of productivity. 25 hours of  remote work with a commitment of 4-5 hours on Monday afternoon (EST) with the remainder of hours distributed throughout the week.
  • Faith: A self-professing Christ-follower who is actively involved in a Christian faith community and is committed to growing in their faith.
  • Team Collaboration: A team player who can contribute to a positive, mission-driven work environment and supports the overall success of the Camps for Communities program.
