Scope of Position: The Coordinator, Operations serves as a key operational connector for WinShape Leadership (WSL). This role functions as the primary point of contact for WinShape Leadership operational workflows and project management, partnering closely with WinShape Foundation support teams to ensure alignment, consistency and excellence across all programs, events and cohorts.

This position ensures that strategy translates into execution by coordinating cross-functional partners, maintaining operational visibility and stewarding the end-to-end participant experience. The Coordinator supports senior leaders, instructors and support teams by managing day-to-day operational coordination with excellence, stewardship and clarity.

Responsibilities

Program Operations & Systems Partnership

  • Serve as the primary point of contact for WSL operational workflows and project management systems (including Asana, internal documentation, shared devices, templates and process documentation.
  • Own and manage WSL project management boards, operational documentation and internal coordination tools, ensuring clear task ownership, timelines and visibility across teams.
  • Partner with and support the Events team and Foundation support teams who own and manage systems such as CVENT, Salesforce and property management systems, providing program requirements, timelines and inputs needed for successful execution.
  • Build, document and continuously improve standard operating procedures (SOPs), templates and workflows that support scalable, repeatable program delivery.

Cross-Functional Coordination

  • Serve as a key operational connector between WSL and WinShape support ministries including Marketing, Events, Finance, Data/IT, Operations, and Talent Experience.
  • Translate program strategy and timelines into executable task plans with clear ownership and deadlines.
  • Partner with the Events team and Marketing & Communications to create, distribute and maintain all event-related communications, ensuring alignment in messaging, timelines and audience experience.
  • Coordinate handoffs, dependencies, and follow-through to ensure alignment and on-time delivery.

Event, Cohort & Participant Coordination

  • Coordinate the full participant lifecycle across events and cohorts in partnership with Events and support teams including:
    • Pre-event communications and assessments
    • Participant preparation and expectations
    • On-site logistics and coordination
    • Post-event follow-up, evaluation, and alumni engagement
    • Run-of-show development and execution support
  • Oversee administrative support for cohort models and ongoing leader communities.
  • Champion second-mile service and hospitality that reflects the WinShape standard.

Speaker, Facilitator & Partner Operations

  • Coordinate all administrative and logistical details for speakers, facilitators, worship leaders, and partners, including:
    • Communication and scheduling
    • Contracts, payments, and invoicing
    • Travel coordination and logistics

Quality Control & Experience Consistency

  • Act as a steward of the WinShape Leadership brand and experience standard.
  • Review communications, materials, timelines, and guest touchpoints for clarity, accuracy, and excellence.
  • Capture lessons learned and integrate improvements into future programming.

Leadership Capacity Support

  • Carry operational coordination and administrative responsibilities that enable senior leaderships to focus on strategy, partnerships, curriculum development and ministry growth.
  • Provide proactive operational insight and support to leadership as programs scale and evolve.
  • Provide additional administrative and operational support as assigned, flexing to meet evolving leadership and program needs.

  • Demonstrated ability to manage complex projects with multiple stakeholders and timelines.
  • Strong organizational skills with high attention to detail.
  • Proven ability to build and manage systems, processes, and documentation.
  • Excellent written and verbal communication skills.
  • Ability to work cross-functionally with professionalism, humility, and initiative.

 

Qualifications

  • Bachelor’s degree or equivalent professional experience.
  • 3–5 years of experience in program coordination, operations, events, hospitality, or ministry administration.
  • Experience in project or event management.
  • Proficiency or willingness to learn Microsoft Suite, Salesforce, Asana, and CVENT
  • Ability to work in a hybrid schedule with regular in-office presence (2–3 days per week) and flexibility for travel to Rome or Atlanta as business needs require.
